FundoPortal lets your school work with more than one money unit while keeping totals consistent. You can add up to three currencies (for example US Dollar, ZWG, and South African Rand), set how many units equal one US Dollar for each, and choose which currency the dashboard should display today.
When a bursar saves a payment, expense, fee structure, or staff salary, they enter the amount in the currency that was actually received or agreed (or in the dashboard currency for payroll salaries). FundoPortal stores that figure plus the rate on the day it was saved so reports can convert fairly later.
Tuition & Fees, Finance Reports, student/parent balances, Overview charts, and Payroll history all show totals in your selected dashboard currency. Printed receipts still show what was recorded at the desk. This is separate from your FundoPortal subscription bill on Subscriptions.
Who can change currency settings?
School administrators always can. Grant the School currency permission (settings.currency) under Teachers & Staff → Role groups if a trusted bursar should edit rates or display currency. Staff with Bursary access can record amounts in the currencies you enable without changing school-wide settings.
Set up currencies and rates
- 01
Bursary & Grants → Settings tab → School currency panel.
- 02
Add up to three currencies and set units per US Dollar for each (for example how many Rand or ZWG equal one Dollar).
- 03
Choose which currency is active for the dashboard display
Overview, Tuition & Fees, Finance Reports, student finance, and Payroll salary fields follow this choice.
- 04
Save. Other admins may need to refresh their browser; amounts on screen recalculate from stored rates.
Recording desk finance
- 01
Payments, expenses, and new fee structures include Currency received
pick the unit the cash or transfer was in, then type the amount.
- 02
Lists and KPIs convert lines to your dashboard currency; receipt previews show the currency and amount that were saved.
- 03
Expense approval caps (Settings → Expense approval) compare pending expenses using the same conversion rules as the dashboard.
- 04
Older rows saved before multi-currency may need to be re-entered or corrected if totals look wrong
ask FundoAI or [email protected].
Payroll
- 01
Payroll → Employees & salaries
gross pay is entered in the current dashboard currency; Save stores the rate in effect.
- 02
Payroll → Deductions
fixed deductions can specify a currency; percentages use each employee’s gross.
- 03
Generate payroll and download payslips
amounts display in dashboard currency like other finance pages.
- 04
After rate or display currency changes, re-save salaries and generate a new payroll run.
Online payments (Paynow)
- 01
Paynow integration amounts are sent in US Dollars on the merchant side; EcoCash/OneMoney may debit locally at the wallet rate.
- 02
Successful online payments appear on the student ledger with the school’s conversion rules; see /help/payment-integrations.
What does not change automatically
- 01
Historical payment, expense, and receipt lines keep the amounts and currencies entered at the time.
- 02
Switching dashboard display currency changes how totals are shown going forward, not what was printed on old receipts.
- 03
Communicate to parents when you change display currency or fee schedules for a new term.
