WhatsApp bots for schools

Connect your school WhatsApp Business number to FundoPortal: Meta webhook setup, auto-replies, enrollment links, fee reminders, and announcement templates.

FundoPortal lets each school connect its own WhatsApp Business number (Meta WhatsApp Cloud API). Families can message your number, receive auto-replies with enrollment and login links, and receive approved template messages for fees and announcements.

WhatsApp is optional. You keep your Meta Business account; FundoPortal stores the Phone number ID, access token, and webhook verify token for your school code.

Before you start

  1. Create or use a Meta Business account and add a WhatsApp Business phone number in Meta Business Suite / Developer.
  2. Generate a permanent access token with permission to send messages on that WhatsApp app.
  3. Note your Phone number ID (not the same as the display phone number, though they are usually linked).
  4. In FundoPortal, generate your public school code (Public Settings) if you have not already.

Connect in FundoPortal

  1. Admin dashboard → Public Settings → WhatsApp Bots tab.
  2. Paste Phone number ID, permanent access token, and business phone in E.164 format (e.g. +263771234567).
  3. Save the verify token shown in FundoPortal — you will paste it into Meta.
  4. Copy the Callback URL (webhook) for your school code into Meta Developer → WhatsApp → Configuration.
  5. In Meta, subscribe to the messages field and complete webhook verification using the verify token.
  6. Enable Auto-reply to send enrollment/login links when someone messages your business number.
  7. Optional: enable Show chat button on your public enrollment page (wa.me link).
  8. Use Send test to confirm the API can deliver a message to a staff phone.

Templates & automated messages

  1. Create approved Utility/Marketing templates in Meta for: announcements, fee reminders, and payment received (exact names must match what you enter in FundoPortal).
  2. Enter template names and language code in WhatsApp settings.
  3. When sending Announcements, tick Also send via WhatsApp for students/parents/teachers with phone numbers on file.
  4. Tuition & Fees → select term → WhatsApp fee reminders for manual arrears blasts.
  5. Enable weekly fee reminders and pick a weekday to use the current term automatically.
  6. When bursar records a paid student payment, payment-received template can notify student and linked parents.

Tips

  • Users with WhatsApp opt-out disabled on their profile are skipped.
  • Meta Business verification issues: email [email protected] with your school name and code.
