Fines are one-off charges (for example late return of equipment, uniform breach, or damage) that add to what a student owes, separate from term fee structures. They use the same school currency and USD ledger rules as other finance lines.
When you impose a fine, the student’s total billed amount increases immediately. The student and any linked parents receive an in-app notification (and push alert when the app is installed). They can review fines under Finance in the student or parent portal.
Who can manage fines?
- 01
Administrators and managers have full access.
- 02
Office staff need finance.fines (Student fines) and/or finance.bursary (full Bursary desk, including Fines).
- 03
Configure under Teachers & Staff → Role groups & permissions → Finance.
Impose a fine (admin / bursar)
- 01
Open Bursary & Grants → Fines tab.
- 02
Click Impose fine
search and select the student.
- 03
Enter a clear title (what the fine is for), optional reason, amount in your school currency, then save.
- 04
The fine appears as Pending until paid or removed. The student balance on Tuition & Fees and student Finance updates.
Remove or correct a mistake
- 01
Only Pending fines can be removed (Remove button on the Fines list).
- 02
Removing a pending fine reverses the extra billed amount on the student account.
- 03
Paid fines stay on record for audit; they cannot be deleted from the list
use finance desk adjustments only if your policy allows.
Collect payment for a fine
- 01
Desk: Bursary & Grants → Payments → Receive Payment → student → Apply payment to → Pending fine → record as Paid when cash or transfer is received.
- 02
Online: Student or parent opens Finance → Fines tab (or Pay online) → Pay fine, or choose the fine in the payment allocation dropdown. Paynow/Stripe/PayPal follow the same gateway setup as tuition (/help/payment-integrations).
- 03
When payment is confirmed Paid, the fine status becomes Paid and links to the receipt reference.
Student & parent portals
- 01
Finance is organized in tabs: Overview (balance summary), Fees & levies, Fines, Payments & receipts, Scholarships (if any), and Pay online.
- 02
Pending fines show a Pay fine button when online payments are enabled.
- 03
Parents switch between linked children; each child has their own fines and payment history.

Executive Advisory & Technical Best Practices
- Use specific titles so families understand the charge on receipts.
- Fines count toward balance owed the same way as tuition until paid.
- Ask FundoAI: “How do I fine a student?” or “Where do parents see fines?”
